Sappi Global Head Office based in Rosebank is looking for a Receptionist/Switchboard Supervisor, they will supervise the Switchboard Operator and take full responsibility for the operation, administration and maintenance of the reception area and switchboard to ensure a smooth harmonious service while maintaining cleanliness. The incumbent required should be a confident, well-groomed person with excellent inter-personal, communication and cultural awareness skills.

REPORTS TO: Corporate Facilities Manager

MAIN RESPONSIBILITIES

Welcome visitors and contractors in a friendly and professional manner, determine the nature of their business and direct them accordingly
Arrange for visitors and contractors to be escorted by staff or security
Develop and maintain good working relationships to provide a collaborative service
Coordinate the lock up procedures and report faults relating to building facilities
Manage the upkeep of the reception area and ground floor bathrooms to ensure that they are clean at all times
Keep daily and weekly lists of deliveries and collections and log service calls where necessary
Keep a daily register of incoming and outgoing courier services, and a record of courier collections and waybill numbers
Supervise the Switchboard Operator
Answer and screen incoming calls and direct them accordingly
Develop a process to ensure that the Switchboard Operator obtains and updates the staff movement list and telephone database on a monthly basis
Show employee how to set up and programme voicemail, retrieve messages and any other general operation of the telephone system
Coordinate the receipt and delivery of incoming mail as and when required
Supervise the preparation and submission of various telephone reports as required by management and various departments
Keep an up to date list of emergency and important contact details
Perform other ad-hoc duties as assigned by the Corporate Facilities Manager

REQUIRED MINIMUM QUALIFICATIONS / EXPERIENCE

Matric plus Office Administration/Management Diploma or equivalent
Minimum 2 – 3 years’ experience
Knowledge of customer service principles and practices
Switchboard experience, including maintenance and other related functions
Supervisory experience
SAP knowledge will be advantageous
