Position Purpose :

Ensuring effective operational functioning for the office of GM by administering all submissions, correspondence received,

required responses, managing and maintaining all administrative processes and ensuring a high level of confidentiality and

discretion.

Position outputs :

Manage effective administration for office of GM
Responsible for managing cost/expense control
according to budgets, investigate deviations and
provide necessary feedback to GM (including

proactive corrective measure if/when required.

Ensure successful inter-departmental
relationships
Prepare presentation packs
Complete GM reports which requires inputs from
all departments
Provide transcription and dictation of BU Exco
meeting
Gather, collate and analyse/ evaluate or
summarise information into an acceptable format
for usage by managers

Conduct research on matters relevant to portfolio
eg. Introducing new concept, technology and best
practice for office management

Management of GM schedule/dairy
Manage and/ or queries in the absences of GM
Assist low level secretaries in the implementation
of office best practices
Qualifications & Experience :

Be in possession of National Diploma or Degree
3-5 years applicable experience
Strong computer literacy and MS Office
Valid driver’s license
Competencies :

KNOWLEDGE AND SKILLS
Detail knowledge of policies, procedures,
principles, standards and processes
(Governance, DAO, Procurement, Compliance etc)
Ability to with tact and discretion
Archiving and filing system
Attention to details
Exceptional planning and organising skills
Exceptional commination skills (written and verbal)
Excellent time management
