Purpose of Role The Allan and Gill Gray Philanthropy is looking for an all-round team player ready to operate flexibly in a fast-paced entrepreneurial environment. We need someone to help us turn chaos into order. Tasks and responsibility areas will change regularly as the team and programmes develop, and you will need to learn quickly and always be ready and keen to accept new challenges.

The primary aim of this role is to act as team Executive Assistant of the Allan and Gill Gray Philanthropy Johannesburg office. You will provide administrative and logistical support, maximising the efficiency of the team.
Objectives of Role • Administrative support and assistance to the AGGPA executive leadership and team in Johannesburg
• Events and logistics for projects and office operations
• Meeting co-ordination and minute taking
• Project Timeline Administration (including Asana population and updating, weekly Asana Roadmap meetings)
• Set up and maintenance of electronic filing systems
• Manage the office environment efficiently
• Maintain the calendar of key events
• Travel bookings and logistics
• Service provider management and invoice processing
• Expense tracking, reconciliation and reporting
• Draft presentations, reports and communications.
• Slack Channel management
• Data collection, capturing and cleaning.
• Team morale boosters and gifting
Experience and Qualifications • Identification with the Foundation’s vision, mission and ethos
• Preference to operate in an uncertain, changing environment
• 3+ years relevant experience
o Experience in office/project administration
o Experience in events management and logistics
• Specialised computer literacy
• Valid driver’s license and own car that you are willing to use for work
• The ability to build strong relationships including service providers, schools, universities and other AGGPA stakeholders
• Passionate about the transformative power of entrepreneurship
• Willingness to travel
