Core Job Purpose The core purpose of this administrative support post is to produce and maintain the Nelson Mandela University timetables and the maintenance of ad hoc facility bookings for the institution within the Registrar's Division as part of the Faculty Administration function..
Key Performance Areas • Liaise with various stakeholders on various levels (e.g. Faculty Administration, Systems Office, HoD's Technical Services and Timetable Coordinators) regarding specific Central Timetabling Office functions (e.g. maintenance request for facilities, collection of timetable data, processing of timetable data, etc.)
• Responsible for the collection and processing of data, continuous maintenance of timetables and problem resolution of complex timetabling scenarios for all the faculties and campuses.
• Serve as first contact person and handle all telephonic and written enquiries/requests from students and staff in relation to ad hoc academic facility bookings, timetabling requests and academic facility maintenance requests.
• Performs the execution of timetabling administrative tasks according to the tight set due dates.
Core Competencies • Understanding of university curricula and timetabling rules, policies, procedures and systems.
• Understanding of the mission/vision and values statement of the University and Academic Administration including an understanding of service level excellence issues e.g. people-centeredness and excellent client services.
• Above average problem solving skills and the ability to communicate the linear and lateral thinking processes required for timetabling problem resolution.
• Ability to perform various functions (different in nature) concurrently while working to tight deadlines under stressful circumstances on a continuous basis including the ability to prioritize, plan and organize.
• Ability to work independently or in a diverse team within a multi-cultural and diverse environment to build interpersonal relationships in order to gain cooperation from a diverse group of staff and students.
Minimum Requirements • M+3 qualification
• 3 years experience in the field of academic administration at a Higher Education Institution.
• Candidates will be required to complete a timetabling skills test that will inform the selection process.
