Job Purpose

Provide a proactive support to the Retail Head and other in the day-to-day operational co-ordination and administrative responsibilities.
This includes responsibility for co-ordinating, administering and reporting on all relevant routine office requirements within the agreed turnaround times.
Key Responsibilities/Accountabilities

General Admin Support:

Supports the relevant Head, in the controlling of daily activity, diary schedules and set up meetings as request.
Arrange teleconferences and video conferences and liaise with internal service providers to obtain dial in detail.
Drafts all routine correspondence on behalf of the relevant Head.
Collates meeting packs/reports/ presentation packs/ slide show for the relevant Head.
Takes minutes of meetings held by the Head, when requested.
Prepares, schedules and checks meeting/ conference arrangements i.e. venue, agendas, speakers, documentation and equipment requirements.
Identifies and schedules appropriate venue, travel and accommodation arrangements both locally and internationally for the relevant Head, Enablement and his/her direct reports.
Monitors and controls the Channel teams’ leave schedules.
Controls the ordering and usage of office stationery, support materials and office supplies within budget.
Arranges for tea/ coffee refreshments to be delivered on time to the correct specifications.
Take care of parking arrangements and access control for external visitors and personally collect visitors from the reception area.
Review incoming emails into the executive’s mailbox and flag for follow-up or direct to other members of the team to act upon.
Coordinates monitors/ tracks and evaluates adhoc project progress (on behalf of the relevant Head, Enablement within specified objectives, deadlines and standards (e.g., restack).
Recommends adjustments to project schedules to optimise integration, to avoid schedule conflict and to save on operating expenses within project parameters.
Plans and manages the implementation of general office administration/ operational support within the required deadlines.
Financial Management Support/Cost Control:

Controls monthly purchasing and expenses claims for the relevant Head and his/her direct reports.
Support the Head and his team in collating adhoc reports.
Preferred Qualification and Experience

Completed secondary school/high school/A levels/Matric
Field of study: Office Administration
A Secretarial Diploma would be an advantage
Experience:

1-2 years’ experience in an Administrative role
Banking Industry
