Welcome visitors by greeting them, in person or on the telephone; answering or referring inquiries.,take messages as and when required by visitors and/or clients
Duties & Responsibilities Client Care:
Welcome client cordially in accordance with the correct etiquette and in the language of the client’s preference
Provide prompt, effective and personalized quality service
Focus continuously on meeting needs and take the extra step
Be sensitive and show empathy for client’s feelings/circumstances
Must render good client service even under pressure

Operational Responsibilities:
Use of telephone for calling office staff
Reporting any deficiency, whatever its nature, that could cause a hazard in the reception area.
Safety of reception area monitored continuously.
Reception and meeting rooms should at all times be kept tidy
Administrative Responsibilities:
Issue access cards and draw reports
Update telephone directory and or/ short code list
Handling of incoming and outgoing mail
Coordinate all Reception administrative tasks.
Administration of FM’s financial management; invoice payments etc.
Directs visitors by maintaining employee and department directories.
Maintains security procedures; monitoring logbook; issuing visitor cards via the Visitor Management System and access card reports.
Key liaison between Businesses and visitors/client on site.
Directing visitors to the correct department and/or person.
Responsible for booking, confirming and upkeep of client-facing venues.
Report any deficiencies in and around reception to the Facilities Helpdesk
Skills and Competencies The etiquette and procedures of the function at reception
MS Office Computer skills
Good interpersonal and communication skills
Good writing skills to communicate in a professional manner
Appropriate use of language, must be well spoken and well groomed.
Display good time management
Organised and methodical
Good team player
Be able to multitask
Qualifications Matric
Receptionist/Secretary qualification
