To provide a professional Facilities Helpdesk service by focusing on and co-ordinating customer needs and contractor’s contractual obligations and ensuring customer satisfaction.
Duties & Responsibilities To provide administrative support to the Facilities Manager by assisting with general office work, client and DSFM projects.
To provide support & relief to Switchboard / Reception

Work orders:
- Accurate details of call request
- Timeous auctioning of request
- Follow up with suppliers if there is no action or delay
- Ensures supplier completes full request to requestor’s satisfaction
- Ensure call is closed on helpdesk system within SLA timeframe
Report any high level problems, e.g. no water, no power, flooding, health & safety risk, etc. to the Facilities Manager immediately.
Ensure that any office move requests are brought to the Facilities Manager’s attention
Training of other Tsebo staff on the helpdesk programme and procedures as required by the Facilities Manager
Educate T-Systems staff in Tsebo processes
Arrange catering as required.
Submit daily Helpdesk Report to Facilities Manager on calls logged, completed and outstanding call status.
Supplier Management

- Ensure that the office space is cleaned and maintained at an acceptable standard
Relief for Reception and Switchboard
Ensure that orders are placed and deliveries received before stock is depleted.
Ensure that the Tsebo procurement policies and procedures are always followed.
Ensure that work are being completed at an acceptable standard and within the SLA timeframe
Ensure that Tsebo Financial policies and procedures are always followed with regards to orders, creditors and debtors’ invoices.
Compliance with both Tsebo and T-Systems company rules, policies and procedures including Occupational Health & Safety Act
Provide support to other Tsebo staff as and when required / agreed with management
Perform other duties as may be required from time to time.
Assist with the supervision and management of operational processes in the absence of the Facilities Manager
Skills and Competencies Computer Literacy (MS Word, Excel, PowerPoint, Outlook)
Telephone / Customer Service Etiquette
Procurement and Finance knowledge
Qualifications Grade 12
A secretarial certificate / diploma would be an advantage
2 - 3 years relevant experience
Financial background or accounting study
Good understanding of SLA and Management contracts
Knowledge of the OHS Act
